Privacy Policy

This website and the Jake Douglass Private Studio are run by Jake Douglass, sole proprietor. In this policy, “I” and “me” mean Jake Douglass. I collect only what I need to answer you, run sessions, send what you asked for, and keep the site working. I never sell your information.
What I collect, and why
When you book a Discovery Session or a session. Booking and payment are handled by Cal.com and Stripe. Cal.com receives your name, email, who the session is for, what brings you here, what you play, your goal, your consent choices and your time zone. I use them only to prepare and run the session you asked for. Your answer to “What brings you here?” may say you are in recovery, which is health information: see the Consumer Health Data Policy. Stripe processes your payment and keeps its own records; I never see your card number.
Session recordings and transcripts. Every session is recorded on Zoom, and Zoom makes a transcript from the recording. The recording is shared with you for your personal review. About 7 days after your session, I move my copies off Zoom’s cloud to my own computer, which is encrypted, and Zoom erases its copy within 30 days.
Notes and action plans. I use Claude (by Anthropic) to write my notes and draft your action plan from the transcript and your booking answers. For material that touches health, wellness, recovery, performance anxiety or anyone under 18, I use Anthropic’s commercial service, under its data processing terms, where what I send is not used to train its models. For other material I may use Claude’s personal plan with model training switched off. On that plan, Anthropic removes deleted chats within 30 days, may keep chats flagged for a safety review for up to 2 years and their safety scores for up to 7 years, and keeps feedback for up to 5 years; I never send feedback on a client’s chat.
The newsletter and the waitlist. The Protocol Newsletter and the studio waitlist run on Kit. Kit keeps your email (and your name, for the waitlist), which form you used, and the link tags from an approved list (for example “instagram”), never the page you were reading. If you choose a reason for being here after signing up, Kit adds a matching label. The recovery label is added only if you choose it yourself, after a note that explains it. You must be 13 or older to join. You can leave with one click in any email.
Contact and request forms. What you type in the contact, speaking, in-service, partnership, media, privacy request and waitlist forms is emailed to me through Resend, so I can reply from my own inbox. I may use Claude (by Anthropic) to help me prepare a reply. You join the newsletter from a form only if you tick its box.
Spam protection. Every form on this site uses Cloudflare Turnstile, which checks your browser for signs of a bot when you start filling in a form.
Analytics. I use Vercel Web Analytics to count visits and which buttons are used. It sets no cookies, keeps no personal data in its events, and stores only the page, the referring site, approved link tags, your country and region, and your device and browser type. The anonymous visitor code it uses is discarded after one day.
Cookies and storage
The pages of this site set no cookies and use no lasting browser storage. For the length of your visit, your browser’s session storage keeps the approved link tags you arrived with, the type of the previous page you viewed (never its address), and whether you paused the header video; all three disappear when you close the tab. The booking calendar is Cal.com’s: it sets Cloudflare’s bot-protection cookie and the storage it needs to work, and Stripe sets fraud-prevention cookies on the payment step. Turnstile works in the same strictly necessary way.
How long I keep it
- Recordings, transcripts, notes, action plans and booking answers: I delete my copies 12 months after your last session, or sooner if you ask. That includes my chats and projects about you in Claude (by Anthropic). The copy of your recording that was shared with you is yours.
- The newsletter and the waitlist: until you unsubscribe or leave the waitlist. I delete those records a year after you leave, and keep only what Kit needs to make sure you are never emailed again.
- Messages from the forms: in my inbox; messages that led to no work are deleted after two years. Resend keeps its sending logs for 30 days.
- Payments: Stripe keeps its records as the law requires, and I keep transaction records for tax, which can’t be deleted while the law requires them.
Who receives it
Only the services named above, each acting for me under its own data processing terms: Cal.com, Stripe, Zoom, Anthropic, Kit, Resend, Google Workspace (my email and calendar), Cloudflare and Vercel. Stripe also acts on its own account for fraud prevention and its legal duties. Your information is processed in the United States. I never sell it and never share it for advertising.
Children
A parent or guardian books for anyone under 18 and consents to recording on the student’s behalf. Nobody under 13 may join the newsletter.
Your choices
You can ask me what information I hold about you, ask me to correct it or delete it, or withdraw a consent you gave. Make the request through the contact form, choosing “Privacy or data request”, or by emailing privacy@jakedouglass.com; if you’re on my email list, you can also reply to any email. I’ll reply typically within 48 hours from my own email to confirm the request is yours, and act on it promptly, except for records the law requires me to keep. You can unsubscribe from the newsletter at any time with one click in any email.
Changes
When this policy changes, the date at the top changes too.
